The starting point
Beacon Biosignals runs decentralized clinical trials with large pharmaceutical partners including Takeda and J&J, where the trial equipment itself, an FDA-cleared EEG headband, a phone, and a hotspot, ships as a serialized kit to sites and patients around the world. Before Zoomlogi, a two-person logistics team managed that flow across 120+ sites by hand: FedEx data uploaded manually, delivery statuses updated one by one, tracking numbers emailed to sites individually, and inventory counts kept in spreadsheets with no automated alerts. There was no way to trace which serialized device went to which site, no low-stock warnings, and end-of-study reconciliation for sponsors meant manually matching returns against shipments. Logistics updates lived in scattered communication channels with no shipment context attached.

From tracking to a device lifecycle platform
Beacon went live with shipment visibility across its trial network and branded tracking links that give clinical sites an Uber-like delivery experience, with automated alerts for pickups, deliveries, and exceptions. From there, the platform grew into the system of record for the entire device lifecycle. Every headband, phone, and hotspot is tracked by serial number from Beacon's 3PL warehouse to the site. When a site activates a device, Beacon's systems send the activation event to Zoomlogi via API, and the device is automatically removed from that site's available inventory. Returned equipment is reconciled against original shipments, with used devices separated from unused stock that goes back into circulation.
Inventory that runs itself
The real-time inventory dashboard shows clinical ops exactly what's on hand at every site in every study, with alerts that flag low stock before it delays a patient enrollment. Dashboard templates were co-designed with Beacon's clinical operations team to show at-a-glance visibility of everything. On top of the data sits Zoomlogi's AI assistant: when a sponsor asks for a delivery report covering every trial since November, the clinical ops team generates it in seconds, work that previously took hours of manual assembly. Freight cost data flows in automatically for spend reporting by lane and study.
What’s Next
With every new global trial in the queue, the platform absorbs the added volume rather than the team. Beacon's trial footprint keeps expanding internationally, with shipments now reaching sites in South America, Japan, and Australia, and the two companies continue to co-develop what clinical trial logistics should look like: less spreadsheet reconciliation, more AI-based automation, and a logistics function that scales with the science.
